Overview
Email signatures in outbound cold emails are crucial for building trust, establishing credibility, and providing context about who you are and what company you represent.
A well-crafted signature helps you:
Present a professional and legitimate image
Make it easy for prospects to contact or learn more about you
Reinforce your company’s branding
Increase trust in cold outreach
When done correctly, your signature can improve response rates and help your message stand out from generic or spam-like outreach.
Creating an Email Signature
Follow the steps below to create and manage your email signatures:
Click Account Settings in the bottom-left corner of the platform.
Select Settings.
Click on Signatures.
Click + Create Signature.
Enter a Signature Name (e.g., “Personal Signature”).
Enter your signature content in the provided field.
See the Best Practices section below for recommendations.
Choose which email accounts (mailboxes) will use this signature:
Select All mailboxes, or
Choose specific mailboxes linked to your account.
The signature will automatically appear on all outbound emails sent from the chosen mailboxes during campaigns.
Click Save Signature.
Send a Test Email
Use the Send Test Email feature to preview how your signature will appear in an outbound message.
This feature allows you to send a test email to a selected mailbox so you can confirm formatting, spacing, and images before launching your campaign.
Best Practices
Add a Sign-Off
Our model does not automatically include a sign-off. Be sure to manually add a closing line such as:
Regards
Best wishes
Thanks
Sincerely
A proper sign-off creates a more natural and professional email experience.
Signature Content Recommendations
To achieve the best results with your campaign, we strongly recommend including the following elements:
Your First and Last Name
Your Job Title
Your Company’s Physical Address (Headquarters or local branch)
A small image or thumbnail of your company logo
Keep your signature clean, minimal, and professional. Avoid excessive links, large images, or overly complex formatting, as these can negatively impact deliverability and credibility.
