Overview
Some Microsoft 365 organisations block users from granting third-party apps access to their mailbox. If yours does, you’ll see an error or an Approval required screen when you try to connect Outlook to Perlon.
Your IT admin only needs to approve Perlon once. After that, everyone in your organisation can connect their primary Outlook mailbox as normal.
Tip: Share this article with your IT admin. It covers everything they need to do.
What connecting your mailbox means
Perlon asks each user to connect their primary Outlook mailbox so it can send campaign emails from your own address and pick up prospects’ replies. This keeps every conversation with a prospect in one place.
The connection is per person. When you connect, Perlon gets access to your mailbox only, using the permissions shown on Microsoft’s consent screen. Admin approval doesn’t give Perlon access to your organisation’s email. It simply lets each user choose to connect their own mailbox.
What Perlon does
Sends the emails in your Perlon campaigns from your address
Reads replies to those campaigns so they show in Perlon
Accesses only the mailbox of the person who connected it
What Perlon can’t do
Read other employees’ mailboxes
Access your company’s wider email or Microsoft 365 data
Keep access after it’s removed. An admin can revoke it at any time in Enterprise applications → Perlon
Before you start
The fix takes four steps and two people:
Step | Who | What |
1 | IT admin | Allow users to request admin consent |
2 | User | Retry the Perlon connection and send the request |
3 | IT admin | Approve the Perlon request |
4 | User | Connect the mailbox |
Note: Your IT admin will need an Azure account with Global Administrator, Cloud Application Administrator or Application Administrator rights.
Step 1: Allow users to request admin consent (IT admin)
Sign in to the Azure portal with an admin account.
Go to Microsoft Entra ID → Enterprise applications → Consent and permissions → Admin consent settings.
Set Users can request admin consent to apps they are unable to consent to to Yes.
Choose who can review requests (for example, yourself or your IT team) and click Save.
Note: This doesn’t give Perlon access. It only lets users send you a request to review.
Step 2: Send the approval request (user)
Log in to Perlon and try to connect your primary Outlook mailbox again.
When Microsoft shows the Approval required screen, add a short message, for example: “Requesting access for Perlon to connect my mailbox for outbound campaigns.”
Click Request approval. Your IT admin will be notified.
Let your IT admin know the request has been sent.
Step 3: Approve the Perlon request (IT admin)
Sign in to the Azure portal with an admin account.
Go to Enterprise applications → Admin consent requests → All (preview).
Find the pending request from Perlon and open it.
Review the permissions, click Review permissions and consent, then Accept.
Note: Approving grants consent for your whole organisation, so other users can connect without repeating Steps 1 to 3.
Step 4: Connect your mailbox (user)
Log in to Perlon and connect your primary Outlook mailbox again. It should now connect without the approval screen.
