Campaigns - Manual Review & Draft Approval

This article explains how the manual review queue works and what happens when you approve, edit, or reject a draft

Overview

When a campaign has Auto Send turned off, Perlon AI prepares each message as a draft for you to review before it goes out, rather than sending it automatically. This gives you full control over exactly what your prospects receive.

You can find your drafts waiting for review in the Pending Approval section of the main menu.

How the Review Queue Works

Rather than generating every message for every prospect all at once, Perlon AI keeps a rolling queue of a handful of ready-to-review drafts per campaign, per channel (email and LinkedIn).

As you approve or clear drafts from the queue, the next batch is prepared automatically to top it back up.

Why a Campaign Might Look Like It's Stopped Preparing Drafts

If new drafts seem to have stopped appearing, it's usually one of the following:

  • The review queue is already full of drafts waiting on you - approve or clear them and the next batch will be prepared automatically

  • The campaign, or the sender assigned to it, is paused

  • The sending account is disconnected (email mailbox or LinkedIn account)

  • A specific prospect is missing data needed to write the message

NOTE: Most of these show up in the campaign status badge or the per-prospect activity timeline. See our article on Understanding Campaign Status for more detail.

Editing, Approving, and Rejecting Drafts

  • Approve a draft to send it as prepared

  • Edit a draft before sending - your edited version is what gets sent to the prospect

  • Delete a draft to remove it - it will not be sent and a new draft will be generated

IMPORTANT: Editing or rejecting an individual draft only affects that message. It does not automatically change how future messages for that step are written.

Improving Future Messages

If you find yourself editing the same kind of issue repeatedly, the most effective fix is to update the messaging instructions for that step rather than editing each draft individually.

  1. Go into the campaign in question and Pause it first

  2. Open the Sequence Editor tab and click into the step you want to adjust

  3. Click on the Review AI Writing button

  4. Pick 2-3 prospects from the campaign to generate the samples

  5. Wait for the samples to be generated by the model

  6. Use the guided review process to refine the writing instructions for that step

  7. Approve the updated instructions once you are happy with the samples

  8. Resume the campaign

Once approved, the new guidance is locked in and applied to future messages generated for that step.

How Draft Volume Is Governed

The number of drafts generated is governed by your daily sending limits, not a separate cap. Keeping your review queue clear helps keep new drafts flowing through consistently.
